We are seeking an Administrative Assistant to help meet the needs of our rapidly growing program. The ideal candidate will have experience working as an administrative assistant or secretary, strong customer service skills and will be responsible for the efficient and smooth day-to-day operations of our office.

RESPONSIBILITIES

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel/presentation/or event arrangements
  • Provide general support to guests
  • Network with staff members to handle requests and queries from managers

 

QUALIFICATIONS:

  • High School diploma or general education degree (GED)
  • Excellent oral and written communications skills
  • Proficient in MS Office (MS Excel and MS PowerPoint is a must)
  • Knowledge of office management systems and procedures
  • Excellent time management skills and able to prioritize
  • Strong organizational skills with the ability to multi-task and work independently
  • Familiarity with the Early Intervention industry a plus
  • Bilingual a plus
